Grievance Redressal

1. Overview

Government Polytechnic College, Hardoi, Aligarh is committed to providing a fair, transparent, and accessible system for students, faculty, and staff to voice their concerns and grievances. The Grievance Redressal Policy aims to address complaints efficiently and ensure a supportive academic and administrative environment.

2. Scope of Grievance Redressal

This policy covers grievances related to:

  • Academic Issues: Course curriculum, examination-related concerns, faculty support.
  • Administrative Matters: Fees, hostel facilities, scholarships, and admission processes.
  • Student Conduct & Welfare: Harassment, discrimination, disciplinary actions, and campus safety.
  • Infrastructure & Facilities: Classrooms, labs, library, IT services, sanitation, and transport.
  • Placement & Career Guidance: Internship and job placement concerns.

3. Grievance Redressal Committee

A dedicated Grievance Redressal Committee (GRC) has been formed to address complaints promptly. The committee consists of:

  • Principal (Chairperson)
  • Senior Faculty Member
  • Administrative Officer
  • Student Representative
  • Counselor (If Required)

4. Grievance Filing Process

Students, faculty, and staff can register their grievances through multiple channels:

  • Online Grievance Portal: Secure digital platform for grievance submission.
  • Written Complaints: Physical submission to the administrative office.
  • Email Complaints: Direct complaints via gp.administrator@venturecad.co.in.
  • Walk-in Appointments: Direct meetings with the committee during office hours.

5. Grievance Resolution Procedure

  1. Acknowledgment: The grievance will be acknowledged within 48 hours of receipt.
  2. Review & Investigation: The committee will assess the complaint, gather evidence, and consult relevant parties.
  3. Resolution & Decision: A decision will be communicated to the complainant within 7-10 working days.
  4. Follow-up & Monitoring: Periodic follow-ups will be conducted to ensure satisfactory resolution.

6. Confidentiality & Protection Against Retaliation

  • All grievances are handled with strict confidentiality to protect the identity of complainants.
  • No individual shall face retaliation for filing a complaint.

7. Escalation & Appeals

  • If a complainant is dissatisfied with the resolution, they may appeal to the Principal or the Higher Education Authorities.
  • Escalations can also be directed to the State Technical Education Department if necessary.

8. Awareness & Training

  • Regular awareness sessions on grievance redressal mechanisms.
  • Training workshops for faculty and administrative staff on handling complaints effectively.
