Document Reservation Policy

1. Overview

The Document Reservation Policy ensures the proper handling, verification, and submission of documents required for admissions and enrollment at Government Polytechnic College, Hardoi, Aligarh. This policy is designed to maintain transparency, compliance, and fairness in document submission and verification procedures.

2. Documents Required for Admission

All candidates must submit the following documents at the time of admission:

  1. High School Mark Sheet & Certificate
  2. Intermediate Mark Sheet & Certificate (if applicable)
  3. JEECUP Rank Card & Allotment Letter
  4. Caste Certificate (for SC/ST/OBC candidates) – Issued by the competent authority
  5. Income Certificate (for EWS & OBC-Non Creamy Layer) – Issued within the last six months
  6. Domicile Certificate (for Uttar Pradesh state quota applicants)
  7. Aadhaar Card (or any other valid ID proof)
  8. Passport Size Photographs (5 copies)
  9. Medical Certificate (for PwD candidates)
  10. Ex-Servicemen Certificate/Ward Certificate (if applicable)
  11. Migration Certificate (for students from other boards/states)

3. Document Submission Guidelines

  • Candidates must ensure all documents are original with one set of self-attested photocopies.
  • Incorrect, misleading, or forged documents will lead to immediate cancellation of admission.
  • In case of missing documents, a provisional admission may be granted with a written undertaking, subject to document submission within the stipulated timeframe.
  • The admission office will verify and retain copies of the documents, while originals will be returned after verification.

4. Verification Process

  • All documents will be verified by the Admission Committee before finalizing admissions.
  • Any discrepancy found during verification will require candidates to submit valid proof or risk disqualification.
  • Digital verification may be conducted where applicable, ensuring authenticity through government portals.

5. Document Reservation & Storage

  • All submitted documents will be digitally stored and archived for future reference.
  • Hard copies will be securely maintained in the student records section for the duration of the course.
  • Access to stored documents will be restricted to authorized personnel only.

6. Issuance of Duplicate Documents

  • In case of loss or damage, students may request duplicate copies of their submitted documents by submitting a written application along with a nominal processing fee.
  • The request must include an FIR copy (in case of loss) and self-declaration for issuing duplicate documents.

7. Important Notes

  • Candidates are advised to keep multiple copies of their documents for personal records.
  • The college is not responsible for any loss or damage to documents post-verification.
  • Any amendments to this policy will be notified on the official college website and notice boards.
